Can you give me detailed downloading and installation instructions? |
Before you begin ensure that you have at least 15MB free disks space on your hard disk. You can do this by using the RIGHT mouse button to click on the c: drive icon. (You can find the c: drive icon by double clicking on "My Computer"). Then choose "Properties". The free space must be at least 15MB. You can download the latest version of 1st Class GradeBook from our web site at http://www.1st-class-software.com/download.html Once on the download web page click on the appropriate link to begin downloading. Most browsers will then ask you where you would like to save the file to. You can choose any directory you like EXCEPT the c:\1stclass directory but do take note of where you are saving it to. Do NOT try saving to diskette since the file is too large to fit on one diskette. (After installing successfully you can use the TOOLS - MAKE INSTALL DISKS to make two installation disks to take to another computer.) After the download is complete you should run the file you have just downloaded. You should be able to find this file since you just noted where you saved it to. You should get a screen that allows you the option of choosing SETUP. Click on the SETUP button. Once the unzipping process is complete the setup program for 1st Class GradeBook will automatically begin. Choose the appropriate options. If you are unsure choose the defaults. After the install is complete and you have re-started windows run 1st Class GradeBook. Check the version number to ensure that your installation was successful. You can check what version of 1st Class GradeBook you currently have installed by going to the main 1st Class GradeBook screen and choosing ABOUT 1ST CLASS GRADEBOOK from the HELP menu. The version number should look something like 7.0s. *** IMPORTANT: If you run into trouble installing the gradebook make sure you check the following: 1) If you are installing on Windows 2000 or NT or on a network make sure you are logged in as administrator with full permissions. 2) Disable "Fool Proof" or a similar software that protects and restores directories to their original state after each reboot, if you are running such software. | |

I have tried to download but it just isn't working. What should I do? |
| Often parts of the internet become overloaded making it difficult to transfer
relatively large files. Try downloading using our backup server link. The

How do I install 1st Class GradeBook on another computer? |
You can make installation disks for 1st Class GradeBook by choosing "Make Installation Disks" from the "Tools" menu on the main 1st Class GradeBook screen. You will need two blank formatted disks. Now go to other computer and do the following: 1)Insert disk 1 2) Choose RUN from the START menu 3) Type in a:setup 4) Click OK. Setup will begin. Just follow the instructions on the screen. If in doubt always choose the defaults. You will need an unlock key for the computer you are installing onto. There is no charge for an additional unlock key. I tried downloading to a diskette but I always get a "DISK FULL" message. What should I do? |
| 1st Class GradeBook is too large to fit on one 1.4MB diskette.
Download 1st Class GradeBook to your hard disk (usually c: drive)
first. Install 1st Class GradeBook on this computer (even if you
do not want to run it on this computer). Now start up the GradeBook
and choose MAKE INSTALL DISKS from the TOOLS menu. You will
be asked for two diskettes. You can then use these disks to install
1st Class GradeBook on any computer you wish.

I am installing a new version of 1st Class GradeBook. What will happen to my grades? Will I need to transfer them? |
| If you install the new version over top (in the same folder) as the older
version you will not have to do anything. When you run the new version
of 1st Class GradeBook your grades database will automatically be upgraded.
You will not need to do anything.
If, however, you are installing to a new folder you will need to copy
all files of type ".1st" from your old folder into your new folder. Use
the FILE - OPEN command from inside the gradebook to open your grades database
file. If you are not sure how to copy your grades file from the old folder
to the new folder then just load your grades from your backup diskette.
Use the FILE - OPEN command and choose the A: drive. Now select your grades
database file and click on the OK button. If you still cannot manage to copy
your grades database file to your new folder then contact your
system administrator/computer consultant for assistance.

How do I uninstall 1st Class GradeBook? |
All uninstallable (non-shared) files are contained in the 1st Class GradeBook folder (usually c:\1stclass). To uninstall 1st Class GradeBook do the following steps: 1) Delete the folder c:\1stclass 2) Delete the icon from the start menu by clicking on START - SETTINGS - TASKBAR and selecting the START MENU PROGRAMS tab. Now click on the REMOVE button and then select the 1st Class GradeBook folder. Now click on the REMOVE button. 1st Class GradeBook is now uninstalled. | |

Installation fails to work properly. What should I do? |
This problem is caused by previous program you have installed not cleaning up after itself properly. A file called setup1.exe usually found in the c:\windows folder needs to be deleted. The easiest way to do this is as follows: 1) Click on START - FIND - FILES & FOLDERS 2) Carefully type in "setup1.exe" (without the quotes). 3) Make sure the "look in" is on the same drive you have windows installed on. Usually c: drive. 4) It should find setup1.exe in the windows folder. Use the RIGHT mouse button to click on the file. This will bring up a floating menu from which you should choose the DELETE menu option. 5) Now try to install again. | |

I had to reformat my hard drive. How do I get 1st Class GradeBook set up again? |
There are three steps you will need to do: 1) Install the software Since you are going to be installing the software anyway it is a good time to upgrade to the latest version. It is free for the first year and only half price ($34.99US) after that. Here are instructions for downloading and installing the latest version: http://www.1st-class-software.com/cgi-bin/fom.cgi?file=14 You can purchase the upgrade from: http://www.1st-class-software.com/orderupg.html If you choose not upgrade then you will need to do one of the following: a) Install from the diskettes you received when you ordered. b) Install from diskettes you made from the TOOLS - MAKE INSTALL DISKS menu option. c) Install from the distribution file you downloaded and presumably put somewhere for safe keeping. d) If you know of another teacher using the same version you can have them make you installation disks from the TOOLS - MAKE INSTALL DISKS menu option. We do not distribute old version of our software. While installing I received the message an OLE error. Is something wrong with my installation? |
| You can safely ignore this error. It has absolutely no effect on the gradebooks operation. This error is caused by a bug in Windows and has been fixed by Microsoft in subsequest releases of windows. Please ignore this error.

I need to get another unlock key. How do I do that? |
You can get your UNLOCK KEY from our web site. Here are the instructions: *** Please note that each computer requires an unlock key that has been generated from a registration code from that computer. You cannot use an unlock key from one computer on another. You must go to each computer you are registering and record the registration code. You can then use these instructions to get an unlock key for each registration code. 1. Install 1st Class GradeBook on your computer(s) 2. Run 1st Class GradeBook. 3. From the HELP menu choose REGISTER. 4. Write down the registration code. It should look something like W3ER-WE7IU. (Note that every time you bring up this screen a new registration code will appear. You can use any one of these registration codes. It does not matter that the registration code changes every time. The computer you are trying to unlock will accept the unlock key as long as the registration code you are provide came from that same computer. You do NOT need to leave this screen on until you receive the unlock key. You can shut off the computer go to wherever you have an internet connection and get an unlock key. When you are back at the computer you are trying to unlock just start up the gradebook and choose REGISTER from the HELP menu and type in the unlock key you were given. Do not worry that the registration number has now changed.) 5. Visit our online UNLOCK system at http://www.1st-class-software.com/unlock.htm#step2 6. You will need to provide your Postal/Zip Code and Phone Number. If your school has purchased a site license then use the school’s Postal/Zip Code and Phone Number. | We give out unlock keys for the first year from the date of purchase up to a maximum of 3 per teacher. After that you must purchase a license upgrade to get more unlock keys. The execption to this rule is for the registration of your original version (or an upgrade done within one year). If you have just registered wait a few minutes and try again. If the problem
still persists then send an email to
support@1st-class-software.com along with
your electronic receipt. Your electronic receipt was sent to the email address
you specified while filling out your credit card information.
If you have moved since your registration or your phone number has changed you must make sure you are requesting your unlock key using your phone number and zip code that was in effect when you registered with us. Where do I find my registration code and serial number? |
Follow these steps: 1) If you have not already done so, download and install 1st Class GradeBook. 2) Run 1st Class GradeBook. 3) Click on the "Help" menu and choose the "Register GradeBook" option. 4) A "Why Register" screen will appear and on the bottom right hand corner of the screen will list your Registration code and serial number, which should look something like this Registration code : s5ds-84l4w Serial number: 42275 5) Please verify both upper and lower case of the registration code to ensure you enter the correct code. | |

When I try go get an unlock key it just says "Your unlock key is: " and no unlock key is given. What should I do? |
| This is caused by an error in the registration code you typed in. Go back into
the gradebook, exit from the registration screen, and then go back in to the
registration screen. A new registration code will be generated. Use that
registration code and try to get your unlock key again. Also send an email to
support indicating that you need your registration code count reset. If you
are unable to get the unlock key you can also send along your registration code
and we will reply with an unlock key. Put an asterisk in the subject line for
priority service.

is free for the first year and thereafter is half of the regular price
($34.99 for a single user license).

I am moving everything to a new computer. What do I need to do with respect to the GradeBook? |
When moving to a new computer here are the issues you will need to consider: 1) Moving the GradeBook software program. You may want to consider upgrading to the latest version since you have to install the GradeBook software again anyway. Upgrading is free if you have purchased within the last year. Otherwise upgrades are half price ($34.99US). The unlock key is not working. What is wrong? |
| This can happen if your computer administrator has installed a software called "Fool Proof" or similar software. This software will return a computer to its original state every time it is re-booted. This software must be turned off when you enter the unlock key into 1st Class GradeBook. You will need to get another unlock key from us. Be sure the "fool proof" software is turned off when you enter in the unlock key. Also if you are running windows 2000 or NT make sure you are logged in as administrator and have full permissions to the entire system.

| Another reason for why your unlock key may not be working may be because you do not have enough administrative rights (or full administrative permissions). You may need full access to all files in order to write to the file that will accept the unlock key. Please follow these instructions:
Have your computer administration sign on with full permissions and while they are signed on you will need to get your registration code and serial number from the software and obtain your unlock key and then enter you unlock key while they are still signed on. It is important that your administrator be signed on while obtaining your registration code and serial number and also when you are entering you unlock key.

Why was I overcharged? I was supposed to be charged the US price. |
| We are a Canadian company so you were charged the Canadian equivalent.
Your credit card company will convert this charge to US$. It should
be very close to the stated US$ price. Here is the note from our online
registration screen: IMPORTANT: Please note that we bill your credit card in CANADIAN Dollars. When you receive your credit card statement you will notice that the amount in US$ differs very slightly from the amount stated below. On the last screen you will see the Canadian equivalent prices. I did not order disks and/or a manual with my original order but now I would like them. What should I do? |
| You can order disks and a manual for $14.99 (shipping and handling) from

card you will be presented with a product list. You should choose
product #3. Please be aware that we only ship the latest version of our
software. If it has been more than 1 year since the date of purchase an
upgrade fee (half of the our regular price) will be charged when you attempt
to get another unlock key. If it has been less than a year since you purchased
you will be able to get another unlock key for the upgraded version at no
charge.

I get a message saying "Unable to open configuration database ..." when the second 1st Class GradeBook client tries to start up. |
| You need to follow the instructions in c:\1stclass\network.txt (Also available via START - PROGRAMS - 1ST CLASS GRADEBOOK - NETWORK INSTALLATION NOTES) You cannot use 1st Class GradeBook in multi-user mode without following these steps.

I am not prompted for a user id even though I have created the USER.LST file. |
Windows 95/98/NT has a nasty habit of adding ".txt" on to any text file you are editing. When you look at the directory of files you will see "USER.LST" even though the actual filename is "USER.LST.TXT". To make windows honest you need to follow these steps: 1) Double click on "My Computer" 2) Double click on "C: Drive" 3) Choose "Options" or "Folder Options" from the "View" menu. 4) Click on the "View" tab. 5) Uncheck the option called "Hide file extensions for known types / registered file types". The wording of this option changes depending on the flavour of Windows you are using. 6) Click OK. Now go back and you will see that the file was actually named "USER.LST.TXT". Change the name to "USER.LST" instead. | |

Make sure your path to your user's directory/configuration file is specified in 8.3 format in the USER.LST file. This includes the each directory in the path. ie. jsmith, c:\users\extralong\jsmith.usr will NOT work because extralong is 9 characters. You would have to use the following line instead: jsmith, c:\users\extralo~1\jsmith.usr | |

Some clients machines will not run 1st Class GradeBook properly and/or say there is a version error. What should I do? |
| Usually client computers will be able to run 1st Class GradeBook off the
network drive without any problems but some machines may not run correctly
because of library version conflicts. Normally the 1st Class GradeBook
installation program fixes these version conflicts as it installs but because
these machines have not had the installation program run on them these
version issues are not resolved. The solution is to install 1st Class
GradeBook on each of the machines not operating correctly and then removing
the c:\1stclass directory (or where ever you install it to). Be sure to
remove the icons created during the installation as they will point to the
local copy of 1st class GradeBook (that you just deleted). Now run from
the network and all should work. If it does not please email
support@1st-class-software.com and include an asterisk in the subject line
of your email for priority service.

I would like to put 1st Class GradeBook on the network. How can I do this? |
Installing 1st Class GradeBook on a Network
-------------------------------------------
Step 1: Install 1st Class GradeBook to a shared folder from which you want
all users to run from.
Step 2: Run 1st Class GradeBook. From the HELP menu choose REGISTER 1ST
CLASS GRADEBOOK. Obtain a special network unlock key from
1st Class Software (905) 302-9988. You must have write access to
1st Class GradeBook when you perform this step. If while performing
this step you are prompted to create a new 1st Class Database choose
NO.
Step 3: Run 1st Class GradeBook. Open the Sample.1st file. Go into the
setup section and customize 1st Class GradeBook to your school.
You can set the school name, grading scale, default comments and
even a default password. 1st Class GradeBook will save your
settings to a file called "config.usr" located in the 1st Class
GradeBook directory. This user configuration file will be used
as a default setup for each new teacher. When a new teacher logs
in for the first time a copy of the config.usr file is copied to
their home directory (as per step 4) You MUST perform a
"File Close" before exiting 1st Class GradeBook. If you leave
a database file open and exit 1st Class GradeBook that database
file name and path will be embedded into the default configuration
file and all new users will automatically open this database. If
you want all teachers to start with a demo database you have set
up this may be desirable.
Step 4: Beginning with version 7.0y this step can now be performed by
going to the 1st Class GradeBook setup screen and clicking on
the Network Admin tab. You can add and delete users as you
wish.
*** VERY IMPORTANT ***
When the multi-user mode is on and you log in under your own
user id any configuration settings you change are for yourself
only. To change the defaults you must turn off multi-user mode
and re-start 1st Class GradeBook. Now any changes you make will
be put into the default configuration file. When a user logs
in the default configuration file is copied to their local
configuration file if their local configuration file does not
exists. This is usually the case when the user logs in for the
first time. If you ever want to reset a users configuration
settings (including their password) you must delete their local
configuration file (ie. delete f:\users\jane\jane.usr). Make
sure that if you are modifying the default configuration settings
you do not leave a grades database file open. If you do the
users will by default be opening the file you left open. To
assure this does not happen ALWAYS use the FILE - CLOSE menu
option to close the database before exiting the gradebook when
you are not in mult-user mode (and thus are modifying the default
configuration settings).
Those with versions prior to 7.0y follow the instructions below
or consider upgrading.
In your text editor (notepad.exe, write.exe, edit.exe) create a
file called "USER.LST" and save it in the 1st Class GradeBook
directory. This file contains a comma delimited list of all user
ids and a fully qualified path and a filename to the user's
configuration file.
Example:
bsmith, h:\users\bsmith\bsmith.usr
jdoe, h:\users\jdoe\jdoe.usr
etc
Once the "USER.LST" file is in the 1st Class Directory, every
time 1st Class GradeBook is started it will prompt "USER ID"
before asking for a password. If you try to run 1st Class GradeBook
and you are not prompted for the "USER ID" then the "USER.LST"
file is NOT in the 1st Class GradeBook directory or is not spelled
correctly. (FOR SURE!)
NOTE that the configuration file will not exist yet. The first
time a teacher logs in 1st Class GradeBook will create this
configuration file from the default configuration file you setup up
in step 3. This configuration file should be located in a
personal working space (on or off the network). Note that the
teacher must have write access to this personal work space.
*** Note that you, as a system adminstrator, can bypass the user id prompt
by renaming the "user.lst" file temporarily. You may want to do
this if you intend to update the default settings in the config.usr
file.
*** Note: If you run 1st Class GradeBook without logging in under a user
ID you must be careful not to change any settings in the setup unless
you want to change the default setup. You must also ensure that you
perform a "File Close" before exiting 1st Class GradeBook. If you
exit while a database file is open all new users will automatically
attempt to open the database file that you left open. This is
most likely not desirable unless you are intending on starting all
teachers with a demo database. (which will not work if they only
have read access to the 1st Class GradeBook directory)

Installing 1st Class GradeBook on the network so that each teacher has their grades saved to their own network directory (a directory where only they have access). In such a setup your user.lst file might look like: bsmith, h:\grades\bsmith\bsmith.usr jdoe, h:\grades\jdoe\jdoe.usr Now give the councilor network access to all the teacher's network directories. In the above example you could just grant the councilor access to h:\grades and all it's subdirectories. Now the councilor can access any student's grade files by logging into the network and running 1st Class GradeBook. Using the FILE OPEN menu option from the main 1st Class GradeBook screen the councilor can choose the h:\grades directory, then select the appropriate teacher's directory, and finally select the grades file containing the student's grades they wish to review. It is recommended that you establish a naming convention to distinguish between different grading periods so that the councilor can easily identify which grades file to open. | |

How do I reset the network admin password? |
| Due to security issues the only way to reset the network admin password in 1st Class GradeBook is to delete all the files in the 1stclass folder and then re-install. You may need to re-register if you perform this operation. Before deleting all the files in the 1stclass folder you should backup up the config.usr file. It contains the default setting for your school's installation (ie. school name, grading scale, etc). Also back up the USER.LST file. (If the USER.LST file does not exist then backup any file matching USER.*) It countains the list of teachers allowed to login. After installing you can then copy the config.usr and USER.LST files into the 1stclass folder thus restoring all you current school defaults and teacher access lists.

Some of my client computers are taking a long time to load over the network. What is wrong? |
The software's operation over your network is a function of your network's performance. 1st Class GradeBook really doesn't even know it is on a network. It's networking abilities are all based on shared drives which appear no different to it than a local hard drive. The likely causes are: 1) The problem computer(s) network cards are slow, or not functioning at top speed. I have come across many networks where a particular brand of network card does not work optimally. The same card moved to a new network/computer may function fine. Networking can be weird at times. To test this, try copying a large file, say 100 MB, both to and from the "problem" computer. The transfer should take 8 seconds on a 100 base T network under optimal conditions but reality is that on most networks it takes about 75 seconds. If your timings are much longer then this is likely the problem. It takes about 6 seconds to load 1st class GradeBook on a network that achieves 75 seconds on the preceding test. Have your networking/computer professional fix this problem. 2) The protocol being used is not efficient for running applications over the network. If you are not experiencing this problem on only some clients and not others then I would recommend looking at what protocols are being used. Compare the network configuration on computers that work properly vs. the computers that have the slow load times. Try eliminating all protocols on the problem computer except one (say TCPIP). Re-test. If the problem persists try another, etc. | |

How do I start a new term? |
| A new term can be started by choosing "New Term" from the "Term" menu. This will create a database exactly like the one currently open except it will not have any of the activities/grades in it. After the new term's database has been created you will be prompted "Import Averages/Grades from the previous term now?" 1st Class Gradebook is now giving you the option to bring in the final averages from the previous term into the new term database just created. If you choose yes a new category (activity type) will be created on the class screen and a new activity will be created in the activity screen. This new category and activity will be used to hold the final average grades from the previous term. This will allow you to print reports showing all their current term grades along with their last term's final average. If you want to print reports without the previous term's final average you can set the category weighting (activity type weighting) in the CLASS screen to 0.

How do I average several terms together to get a final grade? |
There are several ways to do this. One option is to use the "Import Averages/Grades from previous term" option from the TERM menu. We recommend the following method: Let's say you have three term database files: term1.1st, term2.1st and term3.1st and you would like to be able to print a report listing each term's final average along with an overall final average. We would also like to weight the terms as follows: Term 1 30% Term 2 30% Term 3 40% You would set this up by doing the following. 1) Create a fourth database called final.1st using the NEW TERM option from the TERM menu. This database will be used to house the final averages from each term. You may also want to bring in / input the final exam grades directly into this database if you would like the final exam grades to be displayed on the final grade reports. 2) From the TERM menu choose the IMPORT AVERAGES FROM PREVIOUS TERM option. Now choose the term 1 database. Repeat this step for each class (because the import averages option only brings in averages one class at a time). 3) Now repeat step 2 for term 2 and term 3. 4) Now go to the CLASS screen. When you were importing you probably named the categories (activity types) as TERM 1 AVG, TERM 2 AVG, TERM 3 AVG. Set the activity type weighting (category weighting) to 30, 30, and 40 respectively. Let's say you have a course made up of both Theory worth 80% of the student's final grade and Practical worth 20% of the student's final grade and sub-categories as follows. Theory 80% of final grade Tests 40% Labs 60% Practical 20% of final grade Experiments 50% Tests 50% The best way to approach this is to treat Theory and Practical categories as if they were a different terms. Create the Theory term and then choose TERM - NEW TERM from the file menu to create a second term file to hold the Practical grades. Then use the TERM - NEW TERM option one more time to create a new database file to hold final grades from both the Theory and the Practical databases. In this database you can weight the Theory at 80% and the Practical at 20%. This database would be analagous to the final average database in the regular use of terms. There are two ways to get around this problem. If you just want the ordering to be unsorted for input screen purposes (ie. just on the screens) then use method 1 described below. If don't want the students sorted, but would rather control the ordering of students in both the screens and reports then use method 2 described below. Method 1 -------- Enter a three digit number in for the homeroom or student ID if you are not using those fields. Enter numbers like: Name Home Room or Student ID ---- ----------------------- Smith, John 010 Doe, Jane 020 Doe, John 030 etc. Now on each input screen you can choose to sort by Students for alphabetical order or by Home Room / Student ID for the order you have specified. The best thing to do is to put only one class in a database file. Here are the instructions to do this: 1) Start up your gradebook and use the FILE - SAVE AS option to make copies of your database. Call each copy by the name of one of your classes (but do not use spaces and limit the name to 8 characters). 2) Now use the File - Open command and open each of the files you just created in step 1 and delete all the classes in the file except the one which corresponds to it's file name. 3) That's it. Now when you want to switch classes you will need to use the FILE - OPEN command. Now test and see if your performance is improved enough to warrant this more elaborate setup. You still have your original file so you can revert back to your old setup if desired. | |

where you can choose the file you wish to delete. There is no recovery
from deleting a database so be very very careful. If you do not see an

manager/windows explorer to delete your database files manually from

When it comes time to print reports perform the following steps: 1) Copy all the teachers gradebook files into one folder. 2) From the file menu choose NEW to create a completely new blank database. 3) From the Tools menu choose IMPORT. Select the teacher #1's database file. 4) Repeat step 3 for each teacher's database file. 5) Now print reports. | This symptom is most like caused by either of these two problems: 1) An extra file has somehow been put in the distribution folders under your c:\1stclass folder. Just to be sure you should back up your grades to diskette before proceeding with this step. This problem can occur in two cases: 1) You have somehow lost your registration. 2) A NON-network unlock key has been installed on a network installation. If you are experiencing this error on all your computers then the problem is likely 1. If some computers are experiencing this error while others aren't then the problem is likely 2. Here are detailed explainations of the problem and solution: 1) You have somehow lost your registration. This can occur when: a) you alter your operating system (such as installing or upgrading windows) or if you are installing on a new computer. b) Products like FOOLPROOF that reset the state of your computer after each reboot can cause this problem. If this is the cause you must turn your FOOLPROOF type product off while you are entering the unlock key. c) You are upgrading to a version of 1st Class GradeBook that you are not licensed for. Upgrades are free for the first year. After that upgrades can be purchased at half price ( as per our online price list at http://www.1st-class-software.com/price.htm ). No matter what the cause you will need another network unlock key. To switch 1st Class Gradebook into single user mode (to bypass the login error) rename the file "USER.LST" in your 1stclass folder to a different name. Now start up the gradebook. Choose REGISTER from the HELP menu. On the register screen there will be a registration code. Carefully copy it down and then call 905-302-9988 to get a network unlock key. After entering in the network unlock key you can then exit the gradebook and rename the "USER.LST" file back to it's original name. Now start up the gradebook. If you renamed the "USER.LST" file properly then you will be asked to log in with a user id. Try to do so. If you still get the same error then try solution 2. 2) A NON-network unlock key has been installed on a network installation. | If you are receiving a "16 bit windows subsystem, C:\Windows\system32\autoexec.nt. The system file is not suitable for running MS.Dos and microsoft windows applications." error this could be caused by a number of things. It usually means that your autoexc.nt has been moved, removed or is faulty. This could be from an improper installation of windows or if you have spy-ware or similar software that has been removed often it will remove this file also. Please download and install the latest version of 1st Class GradeBook. If you already have the latest version then re-install it. Please try the following: 1) Click on Start - Settings - Printers 2) Right mouse click on the printer driver that is not working and choose Properties 3) Click on the Details tab 4) Click on the Spool Settings button 5) Change the Spool Data Format to "Raw" Now re-start your computer and try printing. If it does not work then proceed with the next set of steps: 1) Remove the printer driver (including any supporting files - you may be prompted to keep or delete files. Choose delete.) 2) Now re-install the printer drivers. (You may want your network/system administrator to assist in this step). ** HP Printer note: HP printers are usually capable of printing in either Postscript or PCL. Try using the opposite driver to the one you are currently using. Reboot and test printing. If it still does not work then contact the manufacturer of the printer and obtain the latest drivers (often their web site will have these). Repeat the last two steps. Reboot & test. If it still doesn't work re-install windows. | |

This is usually the result of mistyping a student's name in the subject in question. To avoid this problem you should use the copy student option when setting up different subjects instead of trying to re-type the student list for each subject. To correct this situation once it has already happened you should go to the subject in question and re-type the student's name carefully makeing sure it is exactly the same as it appears in the other other subject's student lists. Common mistyping errors include different spacing, a trailing space, or differing capitalization. ie. Please try the following: 1) Make sure that the "Footer Comments" and "Report Title" are only 1 line. At the present time multi-line footers or report titles (created by pressing ctrl-enter) are not supported. 2) Make sure the Start and End dates are in the same format as in your Crontrol Panel's "Regional Settings" section. To test you may want to try running the report with no start or end dates. 3) If there are a lot of activities/students it is possible to make selection criteria which generates formulas which exceed the report writer's capabilities. I want to create/modify my own reports. How can I do that? |
1st Class GradeBook grades files are actually Microsoft Access database files and as such can be read by any report writer of your choosing which supports Microsoft Access (which is all report writers that we know of). The only thing you need to be aware of is that you must go into the gradebook and run a report (any report) to ensure that all the summary level information/tables have been recalculated after any changes to the grades or settings relavent to grades. 1st Class Gradebook itself uses a third party report writer called Crytal Reports. In particular we use Crystal Reports ver. 2 which shipped with Visual Basic version 3. We should also mention that there is a patch for this version which we can provide if necessary. We have decided not to upgrade to the new versions of Crystal Reports because the distribution size of our application would go from 2.7MB to over 10MB making internet distribution too slow and unreliable for the bulk of our cusomters. If you need to aquire this version please contact us. Using Crystal Reports has the advantages of allowing you to take an existing report and modify it to suite your needs. Another alternative is to use the latest version (or the version you currently have) of Crystal Reports and modify our reports. Since you are likely to be using a version other than version 2, once you modify the reports they will no longer run from inside 1st Class GradeBook. For this reason we recommend you save the modified reports under a different file name leaving the original files untouched. You can run the reports from the report writer. Be sure you run one report from inside 1st Class GradeBook to force a grade recalculation. | |

| This problem is caused by trying to print a totally blank class along with your other classes. When the spreadsheet report encounters a totally blank report it stops printing. To avoid this problem do not select the blank class when choosing which classes will be printed. If the blank class is not needed you may want to just remove it from the CLASS screen altogether.

This problem occurs rarely and is thought to be linked with a conflict with the Diamond Viper 770 video card drivers. If you are experiencing this problem and are using a different video card please let us know right away. Here are your options: 1) Get a fixed video driver from the manufacturer's web site. 2) Use the generic super vga driver that comes with windows. 3) Use the following work around: When printing in landscape mode choose a paper type of A4. My grades are not as expected. What should I do? |
Grades can be calculated several different ways. 1st Class GradeBook supports all different calculation methods. You must be sure you have selected the method that is appropriate for you. Here are the different methods: To demonstrate we will use the following example and calculate the grade using each method. Let's say our ficticious course has two grading categories (activity types). Labs & Tests. Our ficticious student, John, has acheived the following grades: Labs: 20/30, 60/100 Tests: 80/100, 15/20 1) Points Using the points system John's grade would be calculated: (20+60+80+15) / (30+100+100+20) = 175 / 250 = 70.0% This feature can be turned on by going to the CLASS screen and setting the "Activity Type Weighting" to "Use Points" for each category (activity type) you have listed. 2) Weighted Categories Weighted categories require that each category (activity type) must have an associated weighting. This weighting is often expressed as a percentage although 1st Class GradeBook will allow you to use any weighting scheme you like. In our example let's say that Tests are weighted at 60% and Labs are weighted at 40%. Here is how John's grade would be calculated with this grading scheme: ((20+60) / (30+100) * 40 ) + ((80+15) / (100+20) * 60) = ((80 / 130) * 40) + ((95/120) * 60) = (0.6154% * 40) + (0.7917 * 60) = 24.62 + 47.50 = 72.1% This feature can be turned on by going to the CLASS screen and entering in a number into the weight column for each category (activity type). Most teachers will use weights that total 100 although it is not a requirement. 3) Equally weighted activities within a category (activity type) This option usually only makes sense with weighted categories. Please read the weighted categories example above before proceeding with this example. We will use the same weighting with Tests weighted at 60% and Labs weighted at 40%. Here is how John's grade would be calculated using this grading scheme. ((((20/30) + (60/100)) / 2) * 40) + ((((80/100) + (15/20)) / 2) * 60) = (((0.6667 + 0.6000) / 2) * 40) + (((0.8000+0.7500) / 2) * 60) = (0.6334 * 40) + (0.7750 * 60) = 25.34 + 46.5 = 71.8% This feature can be turned on by going to the SETUP screen and selecting the option titled "Equally weight all activities within an activity type (category)". ----------------------------------------------------------------- In short, when setting the different possible grading calculation methods you should adjust the following settings: a) In the CLASS screen the Activity Type Weighting can be set to a weight (often out of 100) or to "Use Points" b) In the SETUP screen the option to "Equally weight all activities within an activity type (category)" can be turned on or off. Extra Credit activities do not appear to be included in student averages. What is wrong? |
A feature was added in a patch to version 7.0y. Previous versions of 1st Class GradeBoook required that you put extra credit activities into a pre-existing activity type (category). If you put extra credit activities in their own ACTIVITY TYPE (CATEGORY) the extra cedit points were ignored because the activity type (category) had a total possible points of zero which caused the program to skip the activity type altogether. The new release of 7.0y (or higher) allows you to make an activity type designated as EXTRA CREDIT. Any points added to activities in this activity type (category) will be added directly to the final average. To test to see if you have this feature go to the CLASS screen and click on the ACTIVITY TYPE WEIGHTING column. A button with a down arrow on it should appear to the right. Click on it and a drop down list should appear. It will have entries such as "Don't AVG", and "Use Points". If you have this new feature you will also see an entry called "Xtra Credit". If you have this feature and are still experiencing this problem it is because you probably designated the ACTIVITY TYPE WEIGHTING as something other than XTRA CREDIT. If you do not have this feature you will need to upgrade (upgrades are free for a year from the date of purchase). Drop Lowest Score- The gradebook is dropping more than one of the lowest scores, how do I fix this? |
| 1st Class GradeBook allows you to drop up to 9 of the lowest scores. To change the number of lowest scores being dropped follow these directions, from the Main Screen of the GradeBook select 'Class' then in the 'Activity Type Weighting' box click in box under 'Drop Lowest Score' an arrow down button will appear click on that button and a drop box will appear, select the number of lowest score you want to drop. To select only one dropped score choose Yes.

DO NOT GO INTO THE GRADEBOOK AGAIN UNTIL YOU PERFORM STEP 1: Let's say the name of your database file was abc.1st 1) In the c:\1stclass folder rename abc.bk1, abc.bk2 and abc.bk3 to recov1.1st, recov2.1st and recov3.1st respectively. Note that one or more of these files may not exist. 2) Before doing anything more we are going to make a copy of your database on your hard disk. Start up the gradebook and click on FILE - SAVE AS. Enter any 8 character name you wish (that has not already been used) and then click OK. It would suggest something like orig.1st 3) Start up the gradebook and use the File - Open command to try out each of the recov files. Hopefully one of these files has your most recent information. If you do not see the files you renamed then you did not do step 1 properly. You may want to get your system administrator/computer consultant to help you. 4) If steps 1 through 3 fail you should go back to your last backup on diskette and work from there. 5) If all of the above fails check if there is a file name abc.old. If there is try renaming it to recov4.1st. Now use the File - Open command to open recov4.1st. This file will contain your grades as of the last upgrade you performed. | |

I installed a new version of the gradebook and now I can't find my grades. What happened? |
The symptoms of this problem include the buttons being greyed out and when you choose FILE - OPEN you do not see your grades database file listed. The problem is likely to be that you installed the gradebook to a different location. (ie. not c:\1stclass) The easiest course of action is to re-install in the same location you had originally installed to. To do this follow these steps: 1) Click on START - FIND - FILES or FOLDERS 2) Search for *.1st (Make sure you search "My Computer" so that your entire computer is searched.) 3) A list of files will be presented of which you should recognise one or more as your grades database file. 4) The second column shows you where your grades database files are located. This is where you had originally installed 1st Class GradeBook to. Write this location down. 5) Now re-install 1st Class GradeBook. When it asks you where to install to (the default is c:\1stclass) you should enter in the location as you wrote it down in step 4. Be very careful to transcribe this information correctly. Spelling counts! 6) Start up 1st Class GradeBook and click on the FILE - OPEN menu. If you have done the previous steps correctly you should see your grades database file(s) listed. Select your grades file. Now all your grades should be available as before. Alternatively you can find and copy your grades database files to the new location you have installed to. You will need to use your file manager/windows explorer to copy your database files to the new folder in which you have installed 1st Class GradeBook. Follow steps 1 to 4 above to find your database files. If you have trouble following these instructions you should probably follow the first solution above or ask your system administrator / computer consultant for help. | |

There are two possibilities that can lead to this behaviour: 1) You have a completely blank database open. If the CLASS, SETUP, AND EXIT buttons are the only active buttons then the problem is due to a completely blank database. If only the SETUP and EXIT buttons are active then the problem is that you do not have a database open. Use the FILE - OPEN menu option to open a database. We do NOT recommend downgrading. We are providing this information
for use at your own risk. Downgrading may cause problems between

below instructions are to be used in extreme situations only. We
will not entertain questions pertaining to the below instructions
so be sure to leave yourself a way out if this does not work.
1) On the higher version computer print out the Spreadsheet Grade
Report for all your classes.
2) On the higher version computer backup your grades to diskette
using the FILE - BACKUP menu option.
3) On the lower version computer use the FILE - NEW menu option to
create a new blank database.
4) Place the diskette from step 2 in the a: drive.
5) On the lower version computer select the TOOLS - IMPORT DATABASE
menu option. Select the a: drive and then your grades database file
from step 2 and click OK.
6) If everthing works properly all your grades will be imported. Go to
each of the screens and check to see that all your data has been
tansferred properly. Print the spreadsheet grade report for each

I can't get the gradebook to email reports. |
| Re-download and install 1st class grade book. Now go to Email configuration tab in the setup section and make sure you have entered all the information on this screen. The lastest version of 1st class GradeBook includes an additional setting that allows you to enter your Account Name / id for your email account. This field is new and may solve the problem you are having. If it does not then do the following: 1) Open up your regular mail program and look at the settings you are using to recieve and send email. This is the screen where you enter your email address, smtp server, pop server, password, etc. Copy down this information. Now open 1st Class Grade Book and check to see if your settings are the same. Be careful to check for typing mistakes. If you do not know where to find these settings then you should contact your system administrator. Your system administrator will know what settings should be and hopefully will help you get 1st class gradebook mailing. | |

Trouble importing students from excel |

I currently own a copy of the program. I have tried to import a list of students from EXCEL. I saved the file as a tab delimited text file. I then change files separated by in the import students window to <9>. I find the file I hit Read/Review bar. The data then appears in the Student Found in Import File field. I have the course name in the first column, student name in second and student ID in the third field. I select the course. I hit select all and import and nothing happens. Any help would be appreciated. We were able to reproduce this problem in the current version of 1st Class Gradebook. It turns out that excel was adding quotes around the student names. If you open the file up in a notepad and use search and replace to remove all quotes, the problem does not occur. Also, a secondary problem is the fact that the first row contains column titles. To make life easier, we have updated the 1st Class Gradebook website with a new version of the grade book. Please download and install this new version and try again. Please ensure that you remove the row of titles before importing. One more point: You should de-select the option called "the first column is the class name" because the first column in your input file does not contain class names. | |

Importing Students 1 From the main screen click on Student. 2 Click on the Import Students (bottom left corner). 3 Enter the field and record separators. As a default, this gradebook selects “The first field is the Class Name”. Please alter this accordingly. 4 Click on Read/Preview File. This will bring you to the Import Students screen. 5 Select the correct drive and folders to find the file with the information you wish to import. Highlight the file you want and then click OK (the information you import should be saved in a text file). 6 In the “Students Found in Import File” box, there should be displayed the information you wish to import from your text file. Select students and their information that you want to import. 7 The “Import Student Into” column lists the class and students currently in the class. If you want to change classes, click on the downward arrow and a list of all your classes will appear. Choose the class you want to import the students to. 8 Click on import and the students you selected will appear in the “Import Student Into” column. 9 Click “Done” to exit Import Student screen. | |

| I currently run on Windows 98. I want to upgrade to Windows XP. I have been using your software for over a year: Version 8.1d.
Will anything happen to this application when I upgrade? Should I take any precautionary measures so that I don't lose any marks that I already have?

Please make sure you back up your software to disk ( Go to the tools menu and select Make install disks) and make sure you back up your grades to disk also. Once you have done that you then can install your new version of windows and then register your software. I will include registering (getting your unlock key) information at the end of this email(or you can email me your registration code, serial number, phone number and zip code given at the time of purchase). GradeBook reinstall |
| Another instructor purchased 2 copies of 1st class gradebook- she is using one and I'm using the other.
I was able to use the program without difficulty. Today, I noticed it has been deleted from my computer. I am able to access all the files, but cannot read them. I no longer have the start-up disks.
I was hoping that I could download a "free trial" from the website and access my saved files that way, but I am unable to download it.
I think I need either the start up disks again (not sure if I can get them- I returned them to the other instructor- not sure what she did with them), or I need to know/obtain a program I can open my files in. I have saved/backed-up my files, but these are also unopenable without the program running first.
Can you help?
Please do a search on your computer and see if you have this file 1stclass.exe or you can search for the 1STCLASS folder which should have all the files you need to run 1st class. if you can find one of these then you can run the software and then you can make back up disks ( you can go to the tools menu and select Make Install Disks) If you want to look for your grades file you can do a search for any file with the extension .1st you can do this by entering *.1st (the * means search for anything and then .1st) Does the other instructor who purchased with you still use the software. If they do they you can go to their computer and make a copy of the software (again by going to the Tools menu and selecting Make install disks) they you would just need to register the software (no cost to registering as long as you stay with the version you purchased) another option is to purchase the upgrade, the upgrade cost $34.99US. Combining databases to get a single report for a student |
| I need to know how to create a student report card using eight teachers
grades. I am assuminig that there is a way to export their grades from
their disks. First you need to have all the information from all eight teachers on the same computer. To do this, you need to copy all the teachers files into one folder. Create a new data base by clicking on 'file' and then choose 'new'. Go to 'tools' and select 'import data base'. Go to reports and select 'elementary detailed report'. You will need to repeat this process for each student. Have fun! Make sure that each teacher has the same name for each student. Jamesand jim cannot be the same person. Good luck! | |

Unlocking Grade Book without internet access |
| I downloaded your gradebook software onto my home computer and ordered
the floppy disks as backup. I was able to register online and get my unlock
key.
Since I need to have the software on both my home and school computers, I
used the disks to load the software at school. I am the only teacher using
the software. Evidently I need an unlock key for that which is different
from the one at home. But I am unable to get online from school. How can I
activate the software so I can work both at home and at school? Simply write down the registration code from the gradebook at home and at school. It does not matter that the code keeps changing. You do not need to leave the gradebook running. Email or phone in these codes and we will give you the unlock keys for each registration code. You can then go back to these computers at any time and type in the unlock keys. | |

Introduction The web based report feature allows students and teachers to access grades from anywhere within a network. Teachers will give or email students their student ID and password which will allow them to view their own grades in a report form, anytime the teacher allows. 2. Student information Set up 2.1 Click on the Student button from the main screen of the gradebook. 2.2 When entering a student’s information you must have the Student ID and their Password filled out in order for this feature to work. Teachers must then provide their students with their student ID and Password so they can access their grades. You can also email the students their information by using the Student Password Report, this report has their student ID and their password. 3. Report Web Server Set up 3.1 Click on the setup screen from the main page of the gradebook. 3.2 Choose the “Report Web Server” Tab. 3.3 A default “Web Server Port” is selected for you, if you would like to change it click in the “Web Server Port” box, enter the port you wish to use and click “Set”. 3.4 Click on the “Report Server On” Button to turn the server on, this along with running the software will allow students to access their grades, if in the off position they will be unable to view their grades. 3.5 The “Web-Server can be accessed at:” box will appear and will automatically have the name of your computer along with the IP address filled in. Teachers can then provide their students with either the name of their computer or their IP address and the student can put this information into the address line of their web browser to get the “Online Student Report” Login screen, which will allow them to view their grades. 3.6 Before giving the student the address information to access their grades make sure you use the test button to verify that the screen can be access through the addresses that were automatically generated. 4. Using the Report Web Server Feature 4.1 Once you have set up the Student Information and the Report Web Server you can start to use the web feature. In order for Students to access their grades you must have the Report Server Turned on and the Software must be left open (running), to verify if you have the Report Server on you can go to the main screen of the software and in the top right corner next to the lock button will be the status of the Report Server if it is not turned on go to the setup screen and select the Report Web Server Tab and click on “Report Server on” Then click ok, this will allow students to access the information they need. 4.2 The Lock Screen Feature allows you to keep the gradebook running for students to access their grades while you leave the computer unattended. Activating this feature will lock 1st Class GradeBook and require a password when logging on. It is advisable that you use this feature if you are going to leave your computer unattended, this will prevent others from gaining access to your gradebook. This feature can be activated by going to the main screen of the gradebook and click on the “Lock Screen” button in the top right corner and a Login Screen will appear which will require your password. If you have not activated your password you can do so by going to the main screen of your gradebook and select Setup and then under the General Tab enter your password and retype your password. 4.3 Once the report server is on students can then access their grades by entering the computer name or IP address given of the computer 1st Class GradeBook is running on, into their web browser. This will bring the student to the 1st Class GradeBook Online Student Report Screen where they can then enter their student ID and Password that was provided to them then they can select the report they would like to view and Select Run Report. The student will need to have Microsoft Word installed or use Microsoft Word Viewer; they will be prompted if they do not have Microsoft Word installed. | |

How can students or parents access the webserver outside of my schools local network? |
| Although you can run the webserver on a local network this is not the only
configuration possible. The gradebook program is basically its own
webserver so it can be run on any windows server. Without know details of any specific situation I would suggest a configuration like this: 1) Load up 1st Class GradeBook on a windows server. Say the server's name is www.schoolgradeserver.com 2) To upload grades just copy over the grades file to the server and open that database. 3) If the server you are running 1st Class Gradebook webserver on is also a web server then configure 1st Class to use a port other than 80 (say 81). 4) Now use php, frames or a plain old link like http://www.schoolgradeserver.com:81 to integrate the reporting into your school website. There is no reason why the gradebook program can't be used like a regular web server. It can run on the same box as a regular web server or on it's own server.
